Visit protocol

How an inventory & stock check visit runs

Five phases on the day, from address review to a supervisor-reviewed submission across our coverage areas. The 5-point checklist is fixed before dispatch so each visit records the same fields.

  1. 1

    Before the visit

    Address review & routing

Your location list is read for complete addresses, contact names and access notes, and the 5-point inventory & stock checks checklist is locked so every visit records the same fields. Addresses are then grouped area-wise into workable routes, with time-bound checks kept outside peak traffic.

  2. 2

    On arrival

    Arrival, ID & permission

The field executive carries photo ID and your assignment reference, states the purpose at the reception or counter and notes the name and designation of the person met. Nothing is entered, measured or photographed without permission from the person in charge.

  3. 3

    On site

    Checklist & evidence capture

All 5 checklist points are worked in order — "Physical count of listed SKUs" and "Damaged or slow-moving stock" among them — and each result is recorded against its item on the spot rather than from memory afterwards. Geo-tagged, time-stamped photographs are taken for every item your brief asks to be photographed.

  4. 4

    Close-out

    Acknowledgement & close-out

Observations are read back to the person met and an acknowledgement or stamp is collected where your brief asks for one. Closed premises, refused access and address mismatches in the covered areas are logged with the reason and whatever evidence was possible.

  5. 5

    Same day

    Supervisor review & submission

Before anything reaches you, a supervisor checks the day's submissions for checklist completeness, evidence quality and correct coding, and random back-checks are run on a sample. Cleared work goes into your sKU-wise count sheet in your approved format; anything that fails review goes back to the field.

Evidence & quality

Evidence standard & quality controls

What is captured on the ground during inventory & stock checks, and the checks it passes before it reaches you — 5 checklist points and 4 report outputs per assignment.

Captured on every visit

  • Date, time and the name of the field executive logged against every location
  • A wide shot of the premises plus close-ups of every item your brief lists, each one geo-tagged and time-stamped
  • SKU-wise count sheet — built from the field record, not retyped later
  • Variance report against book stock — built from the field record, not retyped later
  • Photographs of storage — built from the field record, not retyped later
  • Signed count acknowledgement — built from the field record, not retyped later

Fields are limited to what your brief authorises — nothing extra is collected or stored.

Checked before it reaches you

  • Supervisor review of every submission — all 5 checklist points answered, with a reason recorded against anything marked not applicable
  • Random back-checks on a sample of completed visits by a second person
  • Photograph check — readable, correctly tagged and matched to the right location before it is attached
  • Exceptions kept separate from completed work, so your 4 report outputs show action items rather than silent gaps

Any row can be traced back to the original field record, so a query on one location is answerable without a fresh visit.

Commissioning triggers

Who commissions this / when it's triggered

Verification work like inventory & stock checks is usually asked for at a specific moment, not on a calendar. These are the briefs we see most often.

01

Credit, risk & onboarding

A new applicant, vendor or dealer is being taken on

Documents and a pin on a map are not proof of an operating premises. A physical visit confirms the address exists, is occupied and matches the business described. A typical brief here is a 5-point inventory & stock checks round across Mumbai, Thane, Navi Mumbai and Panvel.

02

Finance & audit

Year-end or a statutory audit is approaching

Book records need a physical tally. Field verification produces the reconciliation and the exception list the auditor asks for.

03

HR & compliance

Joining or post-joining checks

Addresses on file are confirmed in person, with a dated record and photographs of the premises where the brief allows.

04

Head offices without local staff

The premises is in Mumbai and the team is not

Instead of sending someone across the country, a local executive completes the visit and sends back the checklist, evidence and acknowledgement.

  • Checklist point: Batch, expiry or serial where needed
  • You receive: SKU-wise count sheet, Variance report against book stock, Photographs of storage, Signed count acknowledgement
  • Covered: Mumbai, Thane, Navi Mumbai and Panvel

Scope

What's in scope / what isn't

Stated plainly so the brief and the field report agree. Anything outside this is quoted and authorised before dispatch.

Included in an inventory & stock check assignment

  • The agreed inventory & stock check checklist worked point by point — Physical count of listed SKUs; Batch, expiry or serial where needed
  • Each point recorded as found, including "Storage condition", with a reason noted wherever an item cannot be completed
  • Permission taken before entry, and geo-tagged, time-stamped photographs of the items your brief lists
  • Your report pack: SKU-wise count sheet, Variance report against book stock, Photographs of storage, Signed count acknowledgement
  • Exceptions, refusals and inaccessible locations logged with the reason instead of being left blank
  • Supervisor review of every submission, with random back-checks on a sample of the completed work

Deliberately out of scope

  • No technical, structural, electrical or safety opinions — our executives report what is visible, not an engineer's assessment
  • No legal opinions, title comments or property valuation
  • No entry into any premises without permission from the person in charge
  • No collecting documents, data or photographs that your brief does not authorise
  • No commitments, negotiations or sign-offs made on your behalf at the site

Anything beyond this scope can be added to the brief before dispatch — it is then scoped and quoted, rather than assumed in the field.
